If your Halong Shore Excursion confirmation says “flagpole,” use the flagpole outside the landside entrance of the Main Lobby at Halong International Cruise Port. It is not beside the ship, and a general map pin for the port is not precise enough to replace the written meeting instruction.
The flagpole is a practical landmark for a confirmed pickup, not a universal meeting point for every operator or every call. Follow it only when the final confirmation names it.
What “outside the Main Lobby” means
The international berth, Main Lobby, landside entrance and public vehicle area are different places. Passengers first leave the ship, follow the controlled berth-to-terminal route, pass through the Main Lobby and continue to the named outside landmark.
Do not wait beside the gangway because the booking says “port pickup.” Read where an independent guide may meet you and keep the guide’s location separate from the vehicle’s location.
How to reach the flagpole
- Wait for the ship to announce that passengers may go ashore.
- Use the gangway and passenger route directed by ship and port staff.
- Walk or board the internal port vehicle when instructed for that call.
- Enter the passenger terminal and identify the Main Lobby.
- Continue toward its landside entrance and the flagpole named in your confirmation.
- Verify the guide before leaving the meeting point.
If a sign or staff direction conflicts with your saved instruction, stop at a permitted staffed area and contact the operator. Do not cross a barrier, enter a vehicle lane or use a restricted shortcut to reach the landmark.
Do not estimate the meeting time from ship arrival
The scheduled arrival time comes before clearance, gangway opening and the journey through the port. A ship that arrives at 08:00 does not necessarily place passengers at the flagpole at 08:00.
Agree a practical pickup window based on the ship and date. Allow for the ship-to-Main-Lobby journey, an internal transport wait and the walk to the outside landmark. Tell the operator when the gangway opens or when the group starts moving ashore.
Save enough detail to work offline
Before leaving the ship, save:
- the full written meeting instruction;
- a photo of the landmark if the operator provides one;
- the guide’s name or sign wording when available;
- the local phone or messaging contact;
- the booking name and reference;
- the delay and backup-point procedure;
- the ship’s all-aboard time.
Keep a paper note of the contact and meeting point if the phone is the group’s only copy. A screenshot remains useful when mobile data, roaming or the website is unavailable.
Use one lead passenger and keep the group together
Choose one person to contact the guide and report the group’s location. Tell the guide if the party is split by the gangway, mobility assistance, toilets or an internal vehicle departure.
Do not send different passengers to search different entrances unless the guide has given a clear new arrangement. A guide and group can repeatedly miss each other when both keep moving.
If someone must leave the point, keep at least one informed adult at the landmark and share the new location with the operator.
Verify the guide at the flagpole
Match the booking name, guide name or agreed sign and operator contact. Use the Halong guide-verification checklist before following anyone to a vehicle.
A person knowing the ship name is not enough. Do not hand an unverified person your passport, ship card or phone. If the assigned guide has changed, confirm the replacement through the saved operator contact.
If you cannot find the flagpole or guide
Show port staff the saved words Main Lobby, landside entrance, flagpole and your written confirmation. Staff can help identify the location, but this does not make them part of the booking.
Once at the confirmed point, stay in a safe visible place and contact the operator. Send a photo of the nearby entrance or sign when practical. Agree on the next point before moving to it.
Use the missing-guide recovery guide if contact is delayed. Do not accept an unsolicited ride as a substitute.
Accessibility and bad-weather checks
Passengers using wheelchairs, scooters, walkers or strollers should confirm the full route from the gangway to the outside landmark. Ask about internal transport, lift access, kerbs, standing time and a sheltered waiting alternative.
If rain, heat or a changed passenger route makes the flagpole unsuitable, the operator should give one precise backup point. “Wait inside” is incomplete unless it names the entrance, desk or other landmark.
Plan the return separately
Do not assume the flagpole is also the return drop-off. Confirm where the vehicle can stop, where the guide leaves the group and how passengers continue through the Main Lobby to the ship.
The public port address is No. 9 Ha Long Road, Bai Chay, Ha Long City, Quang Ninh Province. Save it for orientation, but retain the flagpole instruction because the address identifies the port rather than the exact pedestrian meeting point.
Halong Shore Excursion can use Ship + Arrival Date → excursion-fit logic to align clearance, the passenger route, flagpole pickup, backup point and safe return. One exact instruction shared by the whole group is more reliable than several map pins.
