Halong Shore Excursion

What If Your Halong Shore Excursion Group Size Changes?

If your Halong shore-excursion group size changes, tell Halong Shore Excursion before the port call and request one revised confirmation. Adding, removing or replacing a passenger can affect the vehicle, guide, local-boat capacity, visitor information, child equipment, mobility arrangements, meals and price. A private tour’s flexible timing does not make the passenger list flexible without notice.

Do not simply arrive with a different party. Send the booking reference, Ship + Arrival Date, old party count, new party count and the exact change.

State whether someone is added, removed or replaced

These changes are not operationally identical:

  • Added passenger: requires confirmed space and any required ticket, seat, meal and equipment.
  • Removed passenger: changes the expected headcount and may affect the agreed price or cancellation terms.
  • Replacement passenger: can require new identity information and is not automatically a name swap.
  • Passenger moves between subgroups: can change vehicle, guide and reunion plans.

Ask for the revised names and count to appear in one final message. Do not rely on separate chat fragments that leave the operator guessing which list is current.

Why one extra person can change the vehicle

Vehicle suitability depends on passengers plus mobility aids, stroller and practical luggage. A seat count alone does not prove everything fits safely. Tell the operator when an added guest brings a wheelchair, walker, large stroller or other bulky item.

If the original vehicle no longer fits, ask whether a larger vehicle or second vehicle is confirmed and how that affects the guide, meeting point and return. Do not agree to an improvised seat or blocked exit.

A day boat has a controlled passenger operation

Official Halong information identifies sightseeing vessels by type and passenger capacity, and current visitor management includes identification and electronic-ticket controls. An extra guest cannot be assumed to fit because the boat looks large.

Halong Shore Excursion should verify the assigned vessel, available space and required passenger information. If the vessel changes, reconfirm route, harbour, child safety equipment, mobility access and actual return.

Use the Halong day-boat boarding checklist after any group change.

Do infants and young children need to be reported?

Yes, report every traveller, including an infant. The operator needs the true party count and age or size information relevant to transport, tickets and safety equipment. Do not assume a baby is excluded because the child does not use a standard seat in another country.

Ask whether the assigned vessel has the required child-size life-jacket arrangement and whether the vehicle plan suits the child. Read the baby-on-a-Halong-day-boat guide and the child life-jacket guide before confirming.

Replacing a passenger may require new details

Do not give a replacement traveller the original person’s ticket or identity details. Ask what information the operator lawfully needs and use the agreed secure channel. Names, dates of birth, nationality or identification may be required for a local vessel or attraction, but the exact process should be confirmed for the booking.

Review passport details for a Halong Bay day cruise. Do not post identity documents in a public group or send them to an unverified number.

Removing a passenger does not guarantee a lower total

A private vehicle, guide or private vessel may have been reserved for the group rather than priced as individual seats. Tickets, meals or other services may already be committed. The outcome depends on the confirmed booking terms and the time of the change.

Ask for an itemised revision: new inclusions, any cancellation charge, remaining balance and refund method where applicable. Do not infer a per-person refund by dividing the original total.

Adding a passenger does not guarantee the same per-person price

The new total may reflect a different vehicle, boat arrangement, ticket category, meal or guide requirement. Ask for the revised total and what changed before making payment.

Do not pay a person who contacts the group from an unfamiliar account. Confirm the change through the existing Halong Shore Excursion booking channel.

Mobility information must move with the passenger

If the added or replacement passenger has limited mobility, send functional details: ability to walk and take steps, standing limit, transfer ability, mobility-aid type, folded dimensions and weight. “One wheelchair user” is not enough for a vehicle and gangway decision.

If the passenger with mobility needs cancels, do not assume the vehicle should automatically become smaller. Other equipment or comfort requirements may still control the layout.

Use the Halong limited-mobility guide for the full port-to-port chain.

Food and allergies must be attached to the correct person

When a person is replaced, cancel the old meal requirement and state the new passenger’s needs. Do not copy an allergy label from one guest to another. Ask whether the kitchen or vessel can still accommodate the update.

A late change may make a requested meal impossible. Obtain the practical fallback before departure, including what the passenger should bring if permitted.

What if only part of the group goes ashore?

Tell the operator as soon as the decision is final. The guide should know the actual passengers to meet, while the ship and shore groups keep separate contacts. Do not make the guide search for people who have chosen to stay onboard.

If the decision occurs after the guide has been deployed, send the names staying on the ocean ship and the final shore count. The excursion can then start without an avoidable wait.

What if one passenger returns to the ship early?

Do not split the group without telling the guide. Confirm who accompanies the passenger, which vehicle or route is used, and how the remaining group returns. A tendered call adds another controlled transfer.

The original excursion price may not change. The priority is a verified return that does not leave the other group without transport, documents, medicine or responsible care.

Group changes on a tendered port call

Different passengers can receive different tender access or assistance, and splitting across tenders can change the meeting sequence. Tell Halong Shore Excursion who is actually ashore and whether the party is together.

Use the first-tender guide for private Halong excursions. The operator cannot infer that an absent passenger is on the next tender.

Do not let a headcount change consume the return margin

Adding people can slow boarding, toilet stops, walking and reunion. If two vehicles are needed, allow for both to account for passengers before moving. Recalculate the route when the change affects pace.

The cruise ship’s current all-aboard or last-tender instruction remains the hard boundary. Remove an optional stop if the revised group needs more time; do not ask vulnerable passengers to rush.

Revised-confirmation checklist

  • Booking reference and Ship + Arrival Date.
  • Previous and new total passenger count.
  • Names added, removed or replaced.
  • Adult, child and infant ages relevant to the service.
  • Mobility aids, stroller and practical luggage.
  • Vehicle and guide arrangement reconfirmed.
  • Day boat, route, harbour and passenger information updated.
  • Child equipment and meal needs reassigned.
  • Revised price, balance and cancellation terms stated.
  • Meeting, fallback and protected return reconfirmed.

Use one revised booking record as the source of truth. Halong Shore Excursion’s decision sequence is Ship + Arrival Date → actual passenger list → vehicle and equipment → local vessel and visitor controls → meals and pace → revised price → exact meeting → protected ship return. Until the operator confirms the change, the new passenger arrangement is a request, not an excursion plan.
