If your Halong excursion vehicle is not visible at the meeting point, stay at the confirmed public-side landmark and contact the assigned guide or Halong Shore Excursion. The vehicle may be waiting in a permitted parking area while the guide meets passengers on foot, approaching after port release, or delayed by access and traffic. Do not walk into a restricted quay, search moving traffic or board an unverified replacement.
Confirm whether you meet the guide or the vehicle first
A booking should state the actual handover sequence:
- guide meets the group and walks them to the parked vehicle;
- driver meets the group with a passenger-name sign;
- guide and vehicle wait together at a permitted pickup bay;
- port transport takes passengers to a separate public pickup point; or
- tender passengers meet at the announced landing or later landmark.
“Pickup at the port” does not answer this question. Use the Halong shore-excursion pickup guide to name the exact passenger stage.
A vehicle may not be allowed beside the landmark
Official Quang Ninh information confirms that Ha Long International Cruise Port has passenger facilities, parking and short-distance internal transport. It does not mean every independent excursion vehicle can wait at every quay or terminal position for every ship call.
Port control, ship operation, traffic circulation and available parking can change the permitted handover. Halong Shore Excursion should confirm the current public-side arrangement for the Ship + Arrival Date.
Describe where you actually are
Send the exact stage and visible landmark: still onboard, at the gangway, on an internal shuttle, inside the terminal or Main Lobby, outside the public exit, at the flagpole, at a named gate, or at the tender landing announced by the ship.
“We are outside” is not enough when different barriers or exits are possible. Include the current time, passenger count and a photograph of a public landmark when permitted. Keep passports, ship cards and other passengers out of the image.
Stay together at the confirmed point
Choose one lead passenger to manage the phone and one person to keep the group visible. Do not send different passengers toward the road, car park and terminal. That can make the guide miss everyone repeatedly.
A senior, child, wheelchair user or passenger with a medical need should remain with the named companion. Use nearby seating or shelter only when it remains within the agreed meeting boundary. The Halong meeting-point seating guide helps plan a wait without disappearing from view.
Use the saved contact, not a new search result
Call or message the assigned guide or driver and Halong Shore Excursion through the original booking channel. Send one complete message:
“Booking [name/reference], ship [name], Halong [date]. [count] passengers are at [exact landmark] at [time and clock]. We can see [guide/no guide] and no confirmed vehicle. Please state the vehicle location, driver, plate, approach time and whether we should remain here.”
Do not send card details, one-time codes or a new payment merely to receive a reply.
If the guide is present
Ask the guide to explain where the vehicle is, why it is separate and the realistic time to board. The answer may involve a short walk, a vehicle approaching from parking or a changed permitted bay.
Keep the group with the guide unless port staff direct a different movement. Confirm how baggage and mobility equipment will reach the vehicle. A guide walking passengers through the public route should not leave a slow passenger behind.
If neither guide nor vehicle is present
Recheck the written landmark, clock basis, passenger name on the sign and current ship announcement. Do not assume the booking failed because the vehicle is not visible.
Follow the missing Halong guide procedure: stay at the verified place, contact the known channels, ask identifiable ship or port staff to identify the correct public passenger area, and use the pre-agreed waiting cutoff.
A changed meeting point needs verification
A message telling you to walk to another gate may be correct, mistaken or fraudulent. Verify it in the known operator channel. Ask for the new landmark, reason, guide or driver identity, vehicle plate, walking route and effect on the itinerary.
Do not follow a stranger who quotes only the ship name. Use the last-minute Halong meeting-point check before moving.
Verify a replacement vehicle from the beginning
A replacement needs more than a matching plate. Confirm the driver, operator, lead passenger, Ship + Arrival Date, destination and route. Then check passenger capacity, usable seat belts, child restraint, luggage space, air conditioning request and accessibility arrangement.
The Halong driver and vehicle-plate guide explains the complete identity check. Do not load baggage until the group accepts the verified vehicle.
Do not accept an unknown ride as a shortcut
A person may offer a taxi, shuttle or tour vehicle while you wait. Do not board because the driver says they know the guide or can take you to the same attraction. Halong Shore Excursion should authorise any substitute through the saved contact.
If a separately booked taxi becomes the fallback, create a new confirmed pickup, route, fare and handover. It is not the same service simply because it reaches the planned destination.
There is no universal safe waiting time
The workable cutoff depends on current passenger release, the next fixed boat or admission, destination distance, traffic exposure and the ship deadline. It should be agreed before the day when possible.
While waiting, Halong Shore Excursion should compare the real road-departure time with the remaining programme. A delayed vehicle may still support a shorter local route while making Hanoi, Ninh Binh or a fixed day boat unsuitable.
Record the actual departure and reduce the route
Meeting time, vehicle arrival, completed boarding and road departure are four different times. Record each. When the vehicle finally moves, do not pretend the original itinerary still has its full duration.
Protect the primary feasible visit, toilet and medical needs, safe driving, port-to-ship movement and contingency. Remove shopping, photo pauses or another optional stop first. The late Halong itinerary-reduction guide provides the decision order.
A fixed sightseeing boat may be missed
If the road vehicle was meant to connect with a boat, ask whether the confirmed vessel can still accept the group. Do not chase it to another harbour or board an unverified boat. The alternatives may be a later compatible departure, a shorter land programme or return to the ship.
Recalculate before leaving the port area. A faster drive cannot restore a boat that has already departed.
Keep accessibility in the replacement plan
A passenger who cannot stand, walk far or climb vehicle steps may be unable to follow a sudden move to another bay. Ask the vehicle to use the verified accessible pickup if permitted, or provide the exact support and distance before the group moves.
If an occupied-wheelchair vehicle, scooter space or other equipment was confirmed, the replacement must provide the same safe function. “Another van is coming” is incomplete.
No-visible-vehicle checklist
- Guide-first or vehicle-first sequence confirmed.
- Exact public-side landmark and clock basis saved.
- Group remains together and visible.
- Known guide, driver and operator channels used.
- Vehicle location, approach time and plate requested.
- Any new meeting point verified before walking.
- Replacement identity, seats, belts, luggage and access rechecked.
- Latest workable departure and shorter fallback agreed.
- Actual road departure recorded.
- Protected return to the correct port point recalculated.
Send Halong Shore Excursion before arrival: “For [ship] on [date], do we meet the guide or vehicle first? Please confirm the exact public-side landmark, where the vehicle normally waits, who contacts us if access changes, the final waiting cutoff and the shorter excursion if vehicle boarding is late. All aboard or last tender is [time].”
The practical sequence is Ship + Arrival Date → confirmed passenger stage → guide-first or vehicle-first handover → group stays visible → known contact verifies any change → safe vehicle check → reduced route → protected return to the ship.
