A cruise ship’s local port agent is the ship-appointed contact for urgent communication between passengers ashore, the vessel and local port operations. Use the agent supplied by your cruise line for your exact Halong call: the company and number can change by ship and date.
Contact the agent before a delay becomes a missed departure. For immediate danger, get emergency help first. Halong Shore Excursion handles ordinary pickup and tour problems while your return remains protected.

Who should you call first?
| Situation | First contact | When the ship or agent becomes involved |
|---|---|---|
| Medical emergency, fire or immediate threat | Emergency services: 115 ambulance, 114 fire/rescue, 113 police; 112 national emergency and rescue line. Alert nearby staff. | Once urgent help is underway, notify the ship about the passenger’s location and likely inability to return. |
| Delay threatens all aboard, or the gangway is closed | Ship-issued port agent or ship emergency contact; keep the operator involved in a safe return. | Immediately, with a realistic arrival estimate. Do not wait for the deadline to pass. |
| Passport or ship card missing; separated passenger at risk | Ship or agent for missing travel documents; guide for separation, escalating promptly if medical needs or return are affected. | Before searching uses the remaining return time. |
| Guide not visible, pickup change, itinerary preference or routine lost property | Guide, driver, venue or excursion operator. | If access or ship return becomes threatened. |
| Insurance authorisation or commercial refund | Insurer or the company holding the booking. | The agent can relay ship-related facts, but cannot decide the claim or refund. |
Emergency calls may require Vietnamese: ask nearby staff or your guide to help without delaying the call. Save the Halong emergency-number guide. For a routine pickup problem, use the missing-guide procedure.
Save the correct contact before leaving the ship
Ask Guest Services where the current port-agent details are published. Check the daily programme, port notice or cruise-line app as directed. Princess, for example, tells passengers who miss the ship to use the agent details in their onboard Patter; another sailing may present its contact differently.
Keep one record containing:
- ship, Halong date, passenger names, cabin and all-aboard time with the ship’s clock basis;
- agent name, international-format number, permitted calling or messaging method and the ship’s alternative emergency contact;
- guide, driver and Halong Shore Excursion operations contacts;
- authorised passenger entrance, fallback landmark and emergency numbers above.
Save it offline, share it with a companion and carry a short paper copy privately. Replace superseded notices. An old forum number or another ship’s programme is not verification. Confirm that your phone can make voice calls in Vietnam; app calls depend on data. Use the dead-phone guide for a paper fallback.
Give the details that change the response
Transport delay: let the operator manage the vehicle or vessel while you alert the ship to a genuine return risk. Give the driver’s or operator’s current estimate, not your own guess. The Halong day-boat delay guide covers a sightseeing-boat problem.
Missing documents: say exactly what is missing, where it was last seen and which identification remains. A passport and a cruise card require different responses: see the lost-passport guide and lost ship-card guide.
Hospital admission: report the facility, companion, documents held, callback number and whether the passenger can return. Medical staff decide treatment; the ship decides sailing operations. Contact the insurer’s assistance service when safe.
Wrong entrance: wait at a safe staffed point and describe the gate or landmark. Do not enter service roads or restricted areas. Use the wrong-gangway guide for the final passenger route.
Separated party: keep someone at the agreed meeting point when safe. Provide the missing person’s name, clothing, phone and last confirmed location. Mention medical needs or essential documents held; do not send everyone searching in different directions.
A short call script
“I am [name], travelling on [ship] in Halong today. [Number] passengers are at [precise location and landmark]. Our problem is [one sentence]. All aboard is [time, ship-clock basis]. Our operator estimates [arrival time]. Please tell us the next step. My callback number is [number].”
Repeat the callback number slowly. Give a cabin number if requested and relevant guide, driver or hospital contacts. Explain which passports, ship cards, essential medicines and working phones the party has. Agree who will make and receive calls so instructions stay consistent.
If nobody answers or a contact changes
Check the current number and international dialling format. Try the ship’s alternative emergency contact and the operator’s operations contact. Use text or another method only when the ship’s instructions permit it. Seek help at a staffed terminal desk, hotel reception, hospital or police point; do not keep calling one unanswered number while the situation worsens.
Verify unexpected changes to an agent number, meeting place or payment request through a second known channel. Knowing your ship name does not establish the sender’s identity. Do not send passport images, card details or money to an unverified contact. Follow the last-minute change guide.
Can the agent make the ship wait?
No agent can guarantee a delayed departure, waive immigration or security rules, personally replace travel documents or make an unsafe transfer acceptable. If the ship has departed, use the missed-ship action guide.
Princess describes possible onward rejoining as subject to approval, with related travel and accommodation at the passenger’s expense. Assistance is not permission to book your own connection without checking the ship’s instructions.
