Before an independently booked Halong excursion, ask Guest Services whether the ship wants a copy of your shore plan and where it should be recorded. If the ship accepts the information, provide a short, usable record: passenger names, cabin, local operator, working contact, route, meeting point and planned return. Keep the same record with your group and Halong Shore Excursion.
Leaving an itinerary with the ship can help identify your plan if something goes wrong. It does not convert an independent booking into a cruise-line excursion, guarantee that the ship will wait or replace your responsibility to be back before all aboard.

Ask the ship before assuming it records private plans
Cruise lines and ships can use different procedures. Guest Services may tell passengers to retain their own independent itinerary, may record selected information or may direct a passenger to another desk. Follow the current ship’s instruction. Do not leave a loose note at an unattended counter or assume that a crew member’s polite acknowledgement creates a formal record.
Ask: “For an independently booked Halong excursion, do you want our local itinerary or operator contact, and where should we provide it?” When the answer is no, keep the plan accessible to the travelling party and emergency contact. The essential protection remains a realistic schedule and an early return.
Use the operator’s full name and a working contact
Write Halong Shore Excursion in full so the name matches the booking. Add the current local number or messaging contact shown in the final confirmation. Include the country code and identify which service works by ordinary call, text or messaging app.
Check the number before going ashore and save it offline. The guide on which phone number to give Halong Shore Excursion also explains why the operator needs a reachable passenger contact. A cabin phone, home number or a mobile that remains aboard does not solve a port-day delay.
Describe the actual route, not a destination label
“Halong Bay tour” is too broad for an emergency or delay decision. State whether the party plans a local day boat, a road excursion, a private transfer, an overnight local cruise or a combination. Name the principal destination and the harbour when it has been confirmed.
For a Hanoi or Ninh Binh route, record the distant destination and the planned direct-return decision point. For a local boat, record the assigned harbour and planned disembarkation. Do not invent a vessel, licence plate or driver name before the operator confirms it; update the record when those details become available.
Record the public meeting point and first handover
The itinerary should say where passengers expect to meet the guide after leaving the ship. “At the port” is not enough. Use the exact entrance, counter, flagpole or other landmark from the latest written instruction. If the ship tenders, include the named shore landing and the next step only after it is confirmed.
This first handover matters because ship staff control the gangway, tender and controlled passenger route, while the private operator begins at an authorised public point. If the group has mobility assistance, note where ship-arranged help ends and where guide assistance begins.
Write two return times, with their meanings
Record the ship’s current all-aboard time and Halong Shore Excursion’s earlier target for reaching the correct passenger entrance. These are different times. The operator target includes a safety margin for road, harbour, terminal or tender uncertainty. It should not be moved later merely because the public itinerary appears to fit.
Read what all aboard means in Halong and the Halong return-buffer guide. When the ship changes its deadline, the newest official ship notice controls and the operator must recalculate the plan.
Label ship time and local time
Do not write an unlabelled “5:00 PM.” State the time basis used by the ship and the time basis used by the local operator. The two clocks may match, but passengers should not assume that. Follow the current ship announcement and daily information.
Use the ship-time versus local-time guide to create one shared conversion. Every passenger, guide and driver should understand the same pickup, cutoff and return times before departure.
Share only information that serves the port-day plan
Provide the minimum personal information the ship’s process requires. Do not place passport copies, payment details, medical records or unnecessary private data on an informal itinerary. A cabin number and passenger names may help the ship identify the party, but use them only in the channel Guest Services directs.
Tell Halong Shore Excursion about mobility, medical, dietary or family needs that materially affect the route. The ship needs relevant assistance information through its own approved process. A local operator does not need access to the passenger’s full medical history to plan a walking limit, vehicle step or medicine stop.
Keep matching copies in three places
When practical, keep the same core plan:
- with the lead passenger ashore;
- with Halong Shore Excursion and the assigned guide;
- with the ship, only through the process the ship accepts.
Other adults in the group should know the operator name, meeting point and return target. Save a screenshot on more than one phone and carry a paper copy when the only device may lose power or signal. The offline Halong information checklist covers the details needed when the internet is unavailable.
Update the plan when the ship releases passengers late
If clearance, tendering or mobility assistance delays the group, contact Halong Shore Excursion before changing the meeting point. Send the ship’s announcement, the group’s current location and the estimated time to the public side. The operator can test a shorter itinerary, later local departure or cancellation under the booking terms.
Do not rely on the original itinerary after a material delay. Tell Guest Services only through the method the ship has provided; the operator cannot assume a message sent ashore also reaches the ship. Keep following the controlled disembarkation route.
Know what the record cannot do
An independent itinerary does not give the operator control over the ocean ship. It does not reserve a tender place, open a gangway, create cruise-line assistance, extend all aboard or guarantee that a ship representative monitors the vehicle. Cruise lines can apply different protections to their own excursions and independent arrangements.
Halong Shore Excursion plans an earlier return and responds to local conditions, but passengers remain responsible for following the cruise line’s current deadline. The article on whether a guide knows the all-aboard time explains why the passenger and operator should cross-check it instead of assuming either side has the final update.
Overnight ashore requires a separate permission check
A local overnight bay cruise is not simply a longer day excursion. Ask the ocean cruise line whether passengers may remain ashore overnight, which documents they must carry and how they re-enter on Day 2. Record the local vessel, harbour, accommodation and return plan only after they are confirmed.
Use the overnight Halong cruise port-fit guide before treating the itinerary note as permission. A copy left with the ship does not replace approval for the night away.
Final pre-departure check
- Guest Services has answered whether and where it accepts the plan.
- Operator name and local contact match the final booking.
- The meeting point is exact and usable from today’s ship operation.
- The route identifies the real harbour, road destination or overnight stay.
- All aboard and the earlier operator return target are both recorded.
- Every time is labelled as ship time or local time.
- Only necessary personal information is included.
- The lead passenger, operator and other adults hold matching copies.
- A late-release and emergency communication method is understood.
Send Halong Shore Excursion the Ship + Arrival Date and the latest onboard notice before the plan is final. A useful independent-tour record is: identifiable passengers → reachable operator → exact route and meeting point → earlier return target → clear change procedure.
