Confirm before sailing which booking name or group label Halong Shore Excursion will use at the Halong meeting point. There is no single pickup-sign format for every service. The guide may show the lead passenger’s name, a short group label or operator identification. A matching name helps you find the guide, but it is not enough by itself: also match the booking channel, Ship + Arrival Date, guide details, service and vehicle.
Use one exact lead name
The most reliable label is the same lead passenger name used in the final booking. Decide whether the surname, full name or a short recognisable group label will appear, then save the exact spelling offline. Do not assume that the payment-card name, email nickname and cruise reservation name are identical.
If the name is commonly misspelled or difficult to distinguish in a crowd, agree a simple written label such as the surname plus party size. Treat that as a meeting aid, not a change to any passport or ship record.
Do not put sensitive details on a public sign
A pickup board is visible to other passengers, drivers and people waiting nearby. It should not need a passport number, date of birth, cabin number, payment amount or complete cruise booking reference. Keep those details in the private booking record.
Ask Halong Shore Excursion for the least information that still lets both sides recognise the party. A short name and group count can be enough when combined with the correct meeting point and verified contact.
A name board is not identity proof
Someone can hear or see a passenger name in a busy arrival area. Before following a person or loading luggage, check facts that should agree with your final confirmation:
- Halong Shore Excursion as the booked operator;
- your ship name and exact arrival date;
- the booked destination or excursion;
- the guide or driver details sent through the existing channel;
- the vehicle plate when a road vehicle is assigned;
- the current all-aboard or last-tender time.
Do not reveal every answer first and let an unknown person agree. Ask the person to state the operator or service, then compare it with your saved details.
Where the sign appears matters
A correct name in the wrong place does not prove a correct pickup. Follow the precise meeting instruction in the final confirmation. The Main Lobby, the flagpole outside it, a road gate, tender landing and domestic day-boat harbour are different functions.
If your confirmation names the flagpole, use the Halong Cruise Port flagpole meeting guide. Do not move to another “cruise terminal” because someone says the driver cannot enter, unless Halong Shore Excursion verifies the change through the original booking channel.
Private and shared pickups may use different labels
A private guide can look for one booked party. A shared vehicle or day boat may use an operator name, service name, departure identifier or list covering several parties. Confirm whether you should look for your personal name or check in with a named representative.
If several independent bookings belong to one travelling group, send every lead name and the total passenger count. Do not assume that one sign for “Smith” includes another Smith booking or friends who paid separately.
Different tenders need a group plan
Passengers from the same party may reach the public meeting point at different times. The first arrival should identify themselves without telling the guide to leave immediately. Keep a live passenger count and tell the guide who is still aboard, on a tender or walking from the landing.
Use the different-tender group plan for Halong. One capable person should be the lead contact, but every separate arrival needs the exact meeting label and operator contact offline.
If the guide has no visible sign
Do not walk through traffic or follow unverified callers searching for your name. Stay at the precise, staffed meeting area when possible and check the saved contact. Describe a fixed landmark and your clothing; do not send sensitive identity documents simply to prove where you are.
Follow the guide-not-at-the-Halong-meeting-point steps. The operator may confirm that the guide is nearby, delayed or holding a different label. Record the actual meeting time because a delayed start can change what fits.
If the sign has the wrong ship or date
Stop before boarding. A familiar lead name can belong to another sailing, a copied booking or an old assignment. Compare the exact calendar date and ship. Halong Shore Excursion should correct the operational record through the existing conversation before the group leaves.
The wrong ship or date booking guide explains which details must be reconciled. Do not accept “close enough” when the ship deadline and return port depend on the correct call.
If the guide or meeting point changes
A replacement guide may use a different board or have no printed sign. Verify the person in the saved Halong Shore Excursion channel and repeat the group count, route and ship deadline. If the location also changes, ask for the complete new name, map pin, visual landmark and reason.
Use the last-minute Halong meeting-point verification. A new message from an unknown number should not override the original confirmation by itself.
Verify the vehicle after finding the person
Finding the correct guide completes the person-to-person meeting, not the vehicle check. Before loading, match the plate, vehicle type and driver details sent for the service. If the assigned vehicle changed, verify the substitution and recheck capacity, seat belts, child restraint, luggage and mobility equipment.
The Halong driver and plate checklist closes this second handover.
Pickup-sign message to send
Send: “We arrive on [ship] on [date]. The booking lead is [exact name], and our party has [number] passengers. Please confirm the exact pickup label or sign, guide name, meeting point, contact channel and vehicle details. Do not display our cabin, passport or payment information. All aboard or last tender is [time].”
Save the answer on at least two phones and give a short paper version to another capable adult. Halong Shore Excursion can then match: Ship + Arrival Date → exact public meeting point → agreed pickup label → verified guide → verified vehicle → complete passenger count → safe excursion decision.
