Set the Halong shore-excursion meeting time after allowing for ship clearance, disembarkation and the complete route to the named landside point. Do not use the ship’s scheduled arrival minute as an independent pickup time.
Halong Shore Excursion recommends agreeing on a realistic window for a private outing and a clear check-in deadline for a shared departure. The correct arrangement depends on the ship, arrival date, berth or tender, meeting point and all-aboard time.
Use this meeting-time formula
Meeting ready = actual passenger release + exit process + port-side journey + group allowance.
The group allowance covers the slowest passenger, toilets, mobility assistance and reaching the exact counter or landmark together. It should not be used to hide an excursion that already lacks enough return time.
The Halong disembarkation-time guide explains why the arrival schedule alone cannot produce one guaranteed meeting minute.
Confirm which appointment the time describes
A booking can contain several different times:
- ship arrival;
- onboard assembly;
- gangway or tender-ticket call;
- landside guide meeting;
- shared-tour check-in;
- local sightseeing-boat departure;
- excursion return to the port;
- ship all aboard.
Label each one. A 09:00 boat departure is not a 09:00 Main Lobby meeting. Ask whether check-in, transfer and boarding occur before the published activity time.
If your itinerary lists only “early morning” or “afternoon”, leave the exact pickup time provisional. Cunard says more precise arrival and departure times are given in the Daily Programme. Send Halong Shore Excursion the published wording, ship and date when planning ahead, then supply the current onboard times when available. The programme’s arrival time still needs the passenger-release and port-exit allowances above; it is not itself your guide-meeting time.
Use the ship’s time standard
Confirm whether the ship uses local time in Halong and follow the ship’s official all-aboard instruction. Do not change a phone clock manually and then assume every booking uses the same setting.
Write the date as well as the time. For an overnight call, “09:00” can refer to arrival day or the following morning. State both the calendar date and whether it is Day 1 or Day 2.
Allow for the full route to the meeting point
- Wait for the ship to permit passengers ashore.
- Follow the assigned gangway or tender process.
- Use the authorised port route.
- Walk or use internal transport when directed.
- Reach the Main Lobby.
- Stop inside or continue to the outside landmark named in the confirmation.
- Gather the full party and verify the guide.
Use the Halong pickup guide. A general map pin for the port does not identify the meeting point.
Private excursion: agree a window and downgrade rule
A private departure can usually adjust its start within the route and return plan confirmed for that booking. Agree:
- the earliest realistic meeting window;
- how the guide tracks a delayed release;
- which stop is removed first;
- the latest start that still preserves the protected return;
- the shorter local alternative;
- the point at which the excursion must be cancelled.
Private flexibility changes the itinerary, not the ship’s deadline. Do not preserve every planned stop by moving the return later.
Shared excursion: work from the check-in deadline
A shared tour must coordinate several passengers and may connect with a vehicle or boat departure. Confirm the current counter, check-in deadline and policy if your ship releases passengers too late.
Do not assume the group will wait, another departure will exist or a missed check-in will be refundable. Read the booking terms before selecting a shared option with little margin.
Cruise-line excursion: follow the ship’s instruction
If the outing was booked through the cruise line, use its ticket, app and onboard assembly instructions. Do not substitute an independent-tour meeting point because both excursions visit the same destination.
A ship-operated group may assemble onboard before passengers go ashore. That process does not tell an independently booked guide when your group will reach the Main Lobby.
If berth, tender or passenger release changes
Send the operator the new information as soon as the ship confirms it. State your real stage: awaiting clearance, joining the exit, waiting for internal transport or moving from the Main Lobby.
A tender call requires its own ticket or boarding process and a route from the landing point. Rebuild the meeting plan instead of adding a few guessed minutes to an alongside estimate.
If your group is delayed or split
Use one lead contact. Tell the guide how many passengers are ready and whether anyone remains aboard for mobility assistance, a later exit or another reason.
A message sent without a reply is not confirmation of a new time or place. Keep following the saved arrangement while seeking clarification and obey the live route directed by ship and port staff.
Protect the return before accepting the start
Calculate the excursion backward from all aboard through vehicle travel, the public port entrance, Main Lobby, security, internal transport and gangway or tender. Set a protected return target earlier than the ship’s deadline.
If the actual start is late, use the late-arrival decision guide. Shorten, switch or cancel while keeping the return margin intact.
