Halong Shore Excursion

Wrong Ship Name or Date on a Halong Excursion Booking?

If you gave the wrong ship name, arrival date or port for a Halong excursion, contact the operator immediately and ask for a revised written confirmation. Do not fix only the pickup time. The error can change the guide’s date, vehicle position, permitted meeting point, usable excursion window and safe return.

Send the full cruise line, exact ship, Halong call date, advertised arrival and departure, all-aboard time when known, port label, alongside or tender information and the existing excursion reference. Halong Shore Excursion should rebuild the booking from that complete record.

Why Ship + Arrival Date must stay together

A ship name identifies a vessel, while an arrival date identifies one call. Either field alone can be ambiguous. The same ship can visit Halong more than once, and more than one ship can arrive on the same day. Similar vessel names can also be confused.

The working key is:

cruise line + exact ship + Halong arrival date + actual port.

Use the date the ship is scheduled to arrive in Halong, not the date you leave home, embark the cruise or cross the International Date Line. Include the year.

What information should you resend?

  • Request number or confirmed booking reference.
  • Lead passenger’s name.
  • Cruise line and exact ship name.
  • Halong arrival date, including year.
  • Scheduled arrival and departure.
  • All-aboard time if the ship has supplied it.
  • Port or destination wording shown by the cruise line.
  • Alongside berth or tender indication.
  • Current screenshot or document showing ship and date together.

Do not crop away the ship name, date or time zone. If the booking page and onboard programme disagree, send both and state which was issued later.

A destination label is not enough

Some cruise material combines “Hanoi” and “Halong Bay” in one destination name. That does not prove the ship is at a particular Halong berth. Other northern Vietnam calls can use a different coastal port.

Ask the cruise line where the ship is expected to land passengers. The Hanoi–Halong itinerary-label guide explains why the exact coastal port must be verified before arranging pickup.

What changes if the ship name was wrong?

The guide may be holding a sign for the wrong vessel, waiting at another passenger exit or using the wrong arrival monitoring. On a day with multiple ships, the mistake can place vehicle and guide among a different passenger flow.

Ask Halong Shore Excursion to confirm:

  • the corrected ship displayed in the booking;
  • the guide’s sign and contact;
  • the authorised meeting location for that ship;
  • the revised monitoring and late-release method;
  • the excursion and return window.

The same-day multiple-ship guide helps passengers avoid following another ship’s group.

What changes if the date was wrong?

A guide, vehicle, day-boat space or attraction booking may have been arranged for the wrong day. Availability, operating conditions, holiday demand and cancellation terms can differ. A private itinerary is flexible within its confirmed day; it is not automatically transferable to another date.

Ask whether the operator can move the service, what remains available and how the payment or cancellation terms apply. Obtain a new confirmation showing the corrected date. Do not leave the old document as the only version on your phone.

What if the ship crosses midnight near Halong?

Use the official itinerary date for the Halong call and check the ship’s time standard. An overnight call can begin on one date and end on the next. State which day the excursion starts and which day the ship sails.

Do not infer the local date from a phone that changed zones automatically. The ship-time versus Vietnam-time guide helps keep meeting and all-aboard clocks separate.

Does correcting the ship identify the berth?

No. Even the correct vessel name does not by itself establish alongside docking, tender use, passenger exit or where independent vehicles may wait. Confirm the current operational information for the sailing.

Use the Halong docking guide to distinguish a planned port from the final passenger arrangement. If the ship is at Halong International Cruise Port, the ocean berth and domestic sightseeing-boat wharf are separate functions.

What if arrival and departure times were copied incorrectly?

Rebuild the excursion. A later arrival can remove a shared boat or long road trip. An earlier departure can require a shorter route and earlier return. Do not preserve the old attraction list by reducing contingency.

The ship’s scheduled arrival is not the passenger pickup time. Clearance, disembarkation and movement to the meeting point occur first. Review when to meet after docking in Halong.

What if all aboard differs from published departure?

Use the ship’s current all-aboard instruction as the passenger deadline. Departure is when the vessel plans to sail; passengers are normally required back earlier. Send both times and label them clearly.

If the line moves all aboard earlier, contact Halong Shore Excursion immediately. The operator should state which stops are removed and the new target at the cruise port.

Do not create a duplicate booking first

If you have only submitted a website request, quote its request number. Tell Halong Shore Excursion that you are correcting that existing request. No online payment is required to submit the request; the team checks availability and timing before issuing final confirmation. A request-received message is not a confirmed excursion.

If you already have final confirmation, reply through the existing booking channel with “correction” and the booking reference. Creating a second booking can reserve another guide or vehicle, create two payment records and leave staff unsure which booking is current.

If the operator instructs you to cancel and rebook, obtain the cancellation and replacement references in writing. Confirm which payment remains valid and which document should be shown at pickup.

How do you correct a wrong passenger count?

State the new adult and child numbers, ages where relevant, mobility equipment, child restraints and dietary or access needs. A vehicle or day boat approved for the earlier group may no longer fit.

Ask whether the price, guide, vehicle, boat capacity, table or activity booking changes. Do not arrive with unregistered passengers and assume space will appear.

What if you discover the error on the ship?

Contact the operator before disembarkation. Send the current onboard schedule and wait for one verified reply containing the meeting point, guide contact and revised plan. Screenshot it for offline use.

If the operator cannot confirm a safe pickup for the correct ship and date, do not follow someone holding a similar sign. Ask the cruise line or uniformed port staff for the authorised passenger exit and use a verified alternative.

What if you are already at the wrong exit?

Stop at a safe, identifiable landmark and contact the known operator. Do not walk through restricted port areas or accept a ride from an unverified representative. Send a photograph of the landmark without exposing personal documents.

The wrong-gangway guide for Halong explains how to recover without turning the search into a missed-ship risk.

Check the corrected meeting point

The revised confirmation should name the passenger exit, landmark, guide, sign, phone number and fallback period. “Outside the port” is not precise enough. Ask whether the guide meets before or after any internal shuttle.

Use the Halong passenger-exit guide to understand why the berth, public exit and vehicle pickup can be different points.

Keep the corrected plan return-safe

Recalculate from actual passenger release to the final cruise-ship gangway. Include the outward transfer, every activity, local-boat disembarkation, road return, port entry and security. Do not reuse the old return time if the port or route changed.

Use the Halong return-time guide to set a target earlier than all aboard. A corrected pickup is incomplete until the return is corrected too.

Final correction checklist

  • Original request number or booking reference retained.
  • Cruise line, exact ship and Halong arrival date corrected.
  • Year, arrival, departure and all aboard labelled.
  • Actual coastal port and tender or berth status checked.
  • Passenger count and individual needs updated.
  • Guide, sign, exit and fallback confirmed.
  • Availability, price and cancellation effect recorded.
  • Old version marked superseded.
  • Revised route and protected return saved offline.

Halong Shore Excursion should apply Ship + Arrival Date → actual port → passenger-release method → authorised meeting point → suitable excursion → protected return. If any first field changes, run the chain again. The safest correction is one revised document that every passenger, guide and driver can follow.
